All accident management and claims administration is managed in partnership with SurePlan, who are experts in accident and risk management services. This removes the need for drivers to administer any claims and repairs following an accident and ensures they are back on the road as quickly as possible.

    In the unfortunate event of an accident; LeasePlan is on hand for your drivers 24 hours a day, 365 days a year. We look after the well-being of drivers and passengers, organise their mobility and manage repairs and insurance claims for them.

    Our job is to liaise with repairers and rental companies to ensure that repairs are done effectively and efficiently. Insurance claims will be processed quickly and we’ll chase all recoveries at no extra cost. You will also have access to accident related data so that we can advise you on future improvements.

    FBT - as bad as death and taxes? It doesn’t have to be…

    Collecting the FBT data for your fleet can be a headache but with LeasePlan’s FBT tool, we can make it easy for you and for your drivers.

    Each month, we’ll email your drivers an online form for completion. We’ll then collate the information received and send you the data to include in your IRD return.

    It’s so easy, it’s almost fun. Your drivers are more likely to report exempt days with an easy option to include personal contributions they may have made. We’ll do the administration for you and we’ll even let you know when the FBT data is available for use.

    A reminder email is automatically sent to those drivers who fail to provide their FBT information, saving you time and improving the accuracy of your data. You can also make simple modifications to your fleet information and you have instant access to your current FBT information and up to ten years of archived data.

    On average we estimate savings of approximately $25.00 per month per vehicle through efficient FBT lost day management.

    Is managing driver fines a constant challenge? LeasePlan’s solution could be just the ticket

    LeasePlan’s Infringement Service removes the hassle of dealing with speeding and parking tickets. Once an Infringement Notice is received by LeasePlan, details are emailed to the driver (or the vehicle contact). The fine can either be paid straight away or disputed by your company. We can also support you to transfer the liability into the name of the driver, removing the responsibility away from your company. You won’t need to retain individual Infringement Notices, because you will have online access to a report detailing fines received over the last 31 days. The report provides details of the nature of the fines and of the drivers involved.

    Are registrations, WOFs and COFs causing you a headache?

    With LeasePlan managing the registration process, your drivers will receive their vehicle relicensing labels before the current labels expire. As long as the vehicle has a valid Warrant of Fitness (WOF) or Certificate of Fitness (COF), we’ll handle it all for you, saving you administration time and reducing the risk of any fines.

    We can also remind your drivers when they need to book in for a WOF/COF. It is the driver's responsibility to ensure the vehicle they are driving has a current WOF/COF and Registration label; but LeasePlan will work closely with drivers to minimise the risk of non-compliance.

    Caught short with a car off the road?

    If your LeasePlan managed vehicle is off the road for maintenance or for repairs (and a courtesy vehicle is unavailable), LeasePlan can provide you with a rental vehicle. Using LeasePlan’s network, you will have access to LeasePlan’s competitive corporate rates to support your business if a vehicle is temporarily off the road.

    LeasePlan can provide a rental vehicle within 24 hours of receiving an authorised request. This will help you to get back on the road faster and in most cases, we can organise rental vehicles outside normal business hours. We’ll just need authorisation on the following working day. LeasePlan can also assist in sourcing additional rental vehicles as required.

    LeasePlan’s Road User Charges (RUC) management service ensures your drivers receive their new RUC labels before their current label expires.

    LeasePlan will handle the purchase and distribution of RUC labels for your company, which will save you time and reduce the risk of any fines. Simply ensure your drivers enter accurate odometer readings when purchasing fuel, and we'll take care of the rest.

    If you don't want to take advantage of our advance RUC purchasing, we can still purchase your RUC labels, just give us a call or drop us an email.

    Remember, it is the driver's responsibility to ensure the vehicle they are driving has a current RUC label.

    We won’t leave you stranded

    LeasePlan’s nationwide Roadside Assistance service provides your drivers with breakdown support 24 hours a day, 365 days a year. They simply call 0800 LEASEPLAN and help will be on the way. We’ll be able to assist your drivers in the event of a breakdown, a flat tyre or a dead battery, even if they lock their keys in the car, or run out of fuel. If we cannot ensure your driver’s mobility over the phone, our technical expert will meet them on the site. If necessary, we will also organise the towing of the vehicle.

    Service Reminders

    Is keeping your fleet serviced and up to speed a juggle?

    LeasePlan offers a reminder service to let your drivers know when their vehicles are due for a service. After receiving the reminder, drivers simply need to contact the nearest approved LeasePlan service supplier, just let them know that it is a LeasePlan managed vehicle and book a time for a service.

    For a seamless maintenance and servicing of your vehicle, simply follow these steps:

    1. Contact your nearest approved LeasePlan service supplier to book a time.
    2. Tell them what you need and let them know if your Warrant of Fitness is overdue.
    3. Let them know it’s a LeasePlan vehicle.
    4. Need a loan vehicle? Advise them well in advance - supply is often limited.
    5. Make sure your vehicle handbook is in the vehicle when you take it in to be serviced.
    6. Remind the service supplier to call LeasePlan to approve the work.
    7. Once the work has been approved, work on the vehicle can commence.

    Please remember - drivers do not need to pay for the service, nor should they negotiate a price. All of the costs are invoiced to LeasePlan at a pre-negotiated discounted rate.

  • Tolls

    LeasePlan can handle all the payments and administration associated with your fleet using the Northern Gateway and Tauranga Toll Roads.

    We will handle all the payments for your fleet and the related costs will be invoiced on a monthly basis to you.

During the transition period you will only need to pay one monthly rental to us and we will liaise with the other leasing company on your behalf. If needed, we can also arrange a wide range of services to be done for you, such as RUC label distribution, accident, fuel card or infringement notice management.

    You can shift your entire fleet to LeasePlan on day one ensuring your drivers, your vehicles and your business receives the support you need, regardless of who finances the vehicles.

    You can choose to have just one fixed monthly charge that covers all fleet management services, thereby reducing administration costs and overheads.

    We will consolidate the invoicing from multiple suppliers, so it’s easier for you to analyse your fleet costs. It’s all transparent. Nothing is hidden.

    WOF Reminders

    Is WoF and CoF management gobbling up precious work time?

    All LeasePlan managed vehicles can opt to receive a Warrant of Fitness (WoF) and Certificate of Fitness (CoF) expiry reminder service. This helps you to keep track of every WoF or CoF expiry date for your fleet. A reminder is sent two weeks prior to the expiry and from here the driver simply needs to contact the nearest (LeasePlan approved) service supplier or visit a VTNZ station. Just let them know that it’s a LeasePlan vehicle and book an appointment. An online listing of these can be found here.

    Please note, it is the driver’s responsibility that a vaild WoF / CoF is correctly displayed at all times, but LeasePlan is always here to help.

FBT Tool

Simple for you and your drivers - it’s accurate, timely and cost effective.

Each month, LeasePlan’s Fringe Benefit Tax (FBT) Tool will email your drivers a return for online completion. The FBT Tool will then collate the information received from your drivers to assist you in completing your return for the IRD.

The functionality is so easy to use. Your drivers will be more likely to report exempt days and they can easily include the details of personal contributions. The database does the administration for you and even lets you know when the FBT data is available to use.

There are automated follow up processes for those drivers who fail to provide their FBT information, which saves you time and improves the accuracy of your data.

Fair Wear and Tear Guides

At the end of your contract, you will need to return your lease vehicle (or vehicles) to LeasePlan. All returned vehicles are then inspected and are expected to meet certain standards, known as 'Fair Wear and Tear'.

The vehicle inspection is carried out by a third party to ensure that it’s fair and unbiased. You can access a copy of the ‘Fair Wear and Tear’ guide using the links.
